Privacy notice
This notice explains what personal information Projineer Limited collects when you contact us through this website, by email or by phone, or when we talk to you about a possible assignment, and what we do with it.
Our cookie policy covers cookies in detail, and our data protection page explains your rights and how to use them.

Who we are and how to contact us
Projineer Limited, of Kinsale, Co. Cork, Ireland, is the controller of the personal information described in this notice. That means we decide why and how it is used.

This notice covers enquiries made through this website, by email or by phone, and the information exchanged while we discuss a possible assignment with you. It does not cover Seamus HQ, our separate software.
What we collect
Through the enquiry form
The enquiry form asks for your name, your email address and a description of what you need. You can also give your company, your phone number, the kind of help you are looking for, the site or project location, and any important date or deadline. If you reached the form from a link aimed at a particular kind of client, such as housebuilders, the form records that too.
You can also attach documents to your enquiry if you wish, up to five files and 25 MB in total, as PDF, DWG, DXF, Word, Excel, CSV, JPG or PNG files. Please attach only drawings, specifications, bills of quantities, tender documents and similar files that you are entitled to share, and do not send passwords or bank details. Documents can contain personal information about other people, such as the names and contact details of a project team.
We store your name, email address and phone number, a work-stage category based on the kind of help you chose, and your message with the other details you gave added to it, including the names and sizes of any documents you attached. The record also notes when the enquiry arrived and whether our notification and acknowledgement emails were sent.
Before accepting a document, our server checks that the contents of the file match its type. Documents are stored privately in Cloudflare’s R2 storage service, within its EU jurisdiction, and are never made public. Our notification email to info@projineer.com lists them with download links that stop working after 7 days, and each file is set to be deleted automatically 90 days after it was uploaded. We use your documents only to deal with your enquiry, and the acknowledgement email we send you says how many we received without linking to them.
If your documents are too large for the form or in a different format, send the enquiry without them and we will agree with you how to send them.
By email and phone
If you email or phone us, we receive what you tell us along with the contact details you use, such as your email address or phone number.
When we discuss an assignment
While we talk about a possible assignment, you may share drawings, programmes, tender or contract documents and similar project information. These can include the names and contact details of people involved in the project, such as your colleagues, your client or members of the design team. If someone else gives us your details as a project contact, we use them only for the purposes set out in this notice.
Technical information
When you send the form, our server uses your IP address to limit how many submissions can come from the same connection in a short period. For that limit it keeps the address in memory only as a keyed hash, a coded value made with a secret key, rather than as the address itself, and it does not write the address to the enquiry database. Request headers, the token from the spam check and the raw form submission are not stored either.
The contact page uses Cloudflare Turnstile to check that a person, rather than an automated program, is sending the form. To run the check, your browser connects to Cloudflare, which receives your IP address and the browser and device signals the check looks at. When our server confirms the result of the check with Cloudflare, it sends your IP address along with it. A hidden field that people never see also helps stop automated submissions.
On projineer.com we also count page views and a few actions, such as clicks on our phone number or starting an enquiry, without cookies and without recording your name or contact details. Google Analytics runs only if you accept analytics cookies. Both are described below and in our cookie policy.

You do not have to give us any personal information. To reply to a form enquiry, though, we need your name, an email address and a description of what you need, and the form will not send without them.
Who handles your information
These organisations and services handle personal information when we run the website and deal with enquiries.

Within Projineer, enquiry information is available to the people who need it to reply to you or carry out an agreed assignment. We may also disclose information where the law requires it.
Transfers outside the European Economic Area
The website and the service that receives enquiries run on servers in Germany, and documents attached to the enquiry form are stored in Cloudflare R2’s EU jurisdiction, which Cloudflare says keeps them stored within the European Union. Cloudflare, Inc., Google LLC and AC PM, LLC, which provides Postmark, are based in the United States, and Microsoft may process data outside the European Economic Area (EEA), so your information may be transferred outside the EEA when these services handle it.
The GDPR allows such a transfer where the European Commission has decided that the destination protects personal information adequately (Article 45), or where appropriate safeguards, such as the Commission’s standard contractual clauses, are in place (Article 46). Cloudflare, Inc., Google LLC, Microsoft Corporation and AC PM, LLC are each certified under the EU-US Data Privacy Framework, for which the Commission has made an adequacy decision, and each provider’s data processing terms also include the standard contractual clauses. How long we keep information
- Website enquiry records are set to be deleted 365 days after they are received.
- The keyed hash of your IP address used to limit repeated submissions exists only in the server’s memory, where expired entries are cleared out and everything is lost when the server restarts. It is never written to the enquiry database.
- Documents attached to the enquiry form are set to be deleted from Cloudflare R2 automatically 90 days after they are uploaded, and the download links in our notification email stop working after 7 days.
- Emails, including enquiry notifications, and any documents you send us by email or that we download from an enquiry are kept for as long as we need them to deal with your enquiry and reasonable follow-up.
- If you become a client, records of the engagement are kept for the assignment itself and for as long as contractual, tax and company law requirements apply.

Your rights
Depending on the circumstances, you can ask for a copy of your information, have it corrected or deleted, restrict how we use it, receive it in a portable format, object to processing based on our legitimate interests, and withdraw consent at any time. Our data protection page explains each right and how to use it, and you can make a request by emailing info@projineer.com.
You can also complain to Ireland’s supervisory authority, the Data Protection Commission, or to the data protection authority in the EU country where you live or work or where you think the problem arose. Our data protection page gives the Commission’s contact details.
Cookies and website measurement
The website uses a small amount of browser storage that it needs to work, such as remembering your cookie choice, and sets Google Analytics cookies only if you choose Accept. You can change your choice at any time through Cookie settings in the footer, and our cookie policy lists each item and how long it lasts.
Automated decisions
We do not make decisions about you based solely on automated processing, including profiling, that have legal or similarly significant effects on you.
Marketing
We do not send marketing emails from the website and there is no newsletter. When you send an enquiry, we use your details to reply to it.
Changes to this notice
We update this notice when the way we handle personal information changes. The date at the top of this page shows when it last changed.
