Know what is due before someone asks for it

Separate company requirements from job requirements

Maintain a company record for recurring items such as insurance, training, certifications and policy reviews.

Use a project record for the appointments, permits, inspections and client submissions specific to that job. Check requirements against the current documents and relevant authority guidance.

For both, record the owner, due date, evidence location and next action. Start renewals early enough to obtain any third-party information needed.

Prepare the system for audit

The main management-system standards cover distinct areas: ISO 9001 addresses quality, ISO 14001 environmental management and ISO 45001 occupational health and safety. ISO quality standards, environmental standards and ISO 45001.

For practical preparation, check whether:

  • Procedures describe how the business actually works.
  • People know which records they must maintain.
  • Current forms are available in the office and on site.
  • Inspections, reviews and training leave usable evidence.
  • Previous findings have actions, owners and evidence of closure.
  • Management reviews identify decisions and follow-up work.

A useful starting exercise is to follow one recent job through the system. Can the team find the relevant checks and show what happened when something changed?

Make the reviews manageable

Bring upcoming renewals and open actions into an existing management meeting. Flag the items needing a decision or outside information.

Where several standards apply, look for sensible shared records and routines. Keep each standard’s specific requirements visible within that arrangement.
