Bring the contract requirements onto the job

The tender team has read the contract. Has the person running the site been told what matters to their work?

An instruction, drawing change or delayed decision can lose valuable time moving from site to the commercial team.

Identify the agreed documents

The CWMF contract library contains different forms for building, civil engineering and other work, with associated schedules and documents.

For your job, keep the issued form, completed schedule, Works Requirements, pricing documents and agreed clarifications together. The name “Public Works Contract” does not tell the team everything it needs to know.

Have your QS or contract adviser identify the provisions that need a working routine on site.

Prepare a short mobilisation briefing

Give the delivery team clear answers to these questions:

  • Who can issue instructions, and how are they recorded?
  • What programme information must be submitted and updated?
  • Which approvals or information releases affect the first activities?
  • Who receives possible change or delay information from site?
  • What records will the commercial team need?
  • What inspections and completion documents must be planned?

Put names and contact details beside the actions. Keep the relevant contract references available for the people administering them.

Record the event while it is clear

For a changed condition or interrupted activity, capture the date, location, affected work, labour and plant involved, relevant instruction and supporting photographs.

Pass that record through the agreed route promptly. Your commercial team can then assess the contract position and any notice required while the facts are current.

Keep the briefing live

Review the arrangement when managers change, a new package starts or the programme moves. The incoming person needs the open decisions and deadlines as well as the drawings.
